* Sydney and Tokyo offer setup the day before, and prefer that you setup at that time.
Let us know if you are ordering power or AV through the venue. We will do our best to confirm that the venue has received your request.
Exhibit tables are a place to meet with attendees, distribute your marketing materials and even display product. Please do not send a booth.
Exhibitors get:
- A table (sizes are varied by venue and listed on the linked pages above)
- to choose their table location, based on order of commitment. We will begin the selection process approximately 2-3 weeks prior to the event. You will receive an email when the process is beginning, and when it is your turn to select. More details are provided at the links above.
You can bring:
- Tabletop displays
- ONE pull-up banner next to the table (max size is 33” x 80" or 800mm x 2000mm)
- Your branded table skirt/tablecloth, brochures, whitepapers, pens, tchotchkes, etc.
- Demos can be set up with monitors if they fit on the tabletop.
If you are returning exhibit materials, you must bring:
- Return shipping labels
- Tape and other packaging materials for return
The highest attendee traffic will occur during lunch, breaks, and the reception. We expect some level of traffic even during conference sessions.
Sending materials
Please send all table materials to the address listed at the “Exhibitor Shipping & Order Details” at the applicable city/cities in the links in the table above.
To ensure timely delivery to your table:
- Provide tracking numbers to STAC or directly to the contact at the venue no later than the day before the event.
- If tracking is submitted to STAC, we will relay it to the venue so packages can be properly matched to exhibitors.
Important:
- If the venue does not have your tracking numbers, they will be unaware that packages are missing, and unable to identify missing shipments. Packages without tracking may be delayed.
- STAC is not responsible for missing materials.
- If you are not shipping anything, please notify STAC so we can update our records.
Setup
Setup times for the exhibit space are provided on the table above. Please contact us if you need additional time and we will ask the venue if they can accommodate. All boxes, crates, extra literature, or reserve supplies must be stored under or behind your table. Venues do not provide extra storage space.
Power, AV, and Internet
To request power, AV, or internet at your table, please submit your request at least one week before the event. Please note, requirements vary by city —check the “Exhibitor Shipping & Order Details” linked in the table above for specifics.
Audio
Demos and AV with audio must only be audible within two feet of the table. You will need to mute the audio if it disturbs other exhibitors.
Exhibitor badges
Each exhibitor must scan their registration QR code to print a badge at the registration desk before proceeding to your exhibit table. Please make sure your exhibitors are aware of this.
Lead Scanners
To access the lead scanner and view collected leads, exhibitors must download the Agorify app and accept the event invitation. The app also allows exhibitors to create notes on individual leads to help capture key details from conversations. More information can be found here.
Conduct
Professional behavior is always expected. Staff should not enter another exhibitor’s area without permission, whether it is staffed or not. Do not obstruct aisles. Badge scans require permission from the attendee and must be within your exhibit space.
Security
Exhibitors are responsible for securing their goods and materials. Do not leave valuables unattended. Neither the venue nor STAC is liable for loss or damage to the exhibitor’s property. Neither the venue or STAC maintain’ s insurance to cover the exhibitor’s property. Exhibitors are responsible for obtaining their own insurance.
Teardown
Unless otherwise noted, leave your table up until the conclusion of the reception. Removal of equipment is only permitted at teardown. All materials must be either:
- Discarded
- Taken by your personnel when they leave, or
- Prepared for shipping per the instructions below.
Any remaining items will be disposed, and your company will be responsible for any charge incurred for their removal. The venue and STAC are not responsible for storage. Your firm waives any claims or demands regarding such property or handling of such property.
Exhibitors must have downloaded the Agorify mobile App and will be enabled to access to the lead scanner. Click here for more information.
Conduct
Professional behavior is always expected from each firm and its representatives. Your staff should not enter the area of another exhibitor without the permission of that exhibitor. This is irrespective of whether the other exhibitor’s space is staffed. Do not obstructing the aisles. Exhibitors must always ask permission to scan a badge, must be courteous, and must not scan badges outside your immediate exhibit space.
Security
Each exhibitor is responsible for safeguarding its goods, materials, equipment, and exhibit during the STAC Summit. We recommend that you DO NOT leave valuable materials unattended at the table. Neither the venue nor STAC is responsible for loss or damage to exhibitor’s property. Neither the venue or STAC maintains insurance to cover the exhibitor’s property. Exhibitors are responsible for obtaining insurance coverage for the booth or its contents.
Teardown
Leave your table up until the conclusion of the reception. Removal of equipment is only permitted during teardown after the reception. All tables must be dismantled by the end of the teardown time below. All booth materials must be either:
1) Thrown away
2) Removed by your personnel when they leave, or
3) Prepared for shipping following the directions below.
Any remaining items will be disposed, and your company will be responsible for any charge incurred for their removal. The venue and STAC will not have any obligation to store such property and you, and your firm waive any claims or demands regarding such property or handling of such property.
Return shipping
Exhibitors must bring return shipping labels with tracking numbers for your return shipments. You must bring boxes, tape, scissors, etc. to pack and ship your materials. Neither STAC nor the venue can provide these materials. Arrangements for all shipping should be done prior to your departure.
You must put any items that are being returned in a box, seal it, and affix a pre-paid return label. Unless otherwise noted, the venue will come by to collect any boxes for shipment at the conclusion of the event.
It is the Exhibitor’s responsibility to contact their carrier to arrange pick up from the venue the following day.
