Hong Kong Venue Information

Use the instructions below if you plan to ship materials or order services for your exhibit at the STAC Summit Hong Kong.

Review this page carefully and share it with anyone managing your exhibit logistics.

Notes:

  • If you need an earlier start time, let us know. We may be able to accomodate a slightly earlier arrival time.

  • Please complete setup before the event opens to attendees.

  • Tear down must not begin before the event closes unless instructed by event staff.

 


Shipping Deadline

Materials must arrive no later than Tuesday, April 14, 2026.

The venue will not accept or store packages received before Thursday, April 9, 2026.

Please plan your shipping dates according to arrive within that window. International shipments should allow extra time for customs clearance.

Please use the shipping label template provided here and attach a completed copy to all packages.

Person In-charge: Your onsite representative

Notify STAC in advance that you will be shipping materials. Email your shipment tracking numbers to us at events@stacresearch.com
We will provide the list of tracking numbers to the venue, the day before the event so they can find and distribute packages to the correct exhibitor location. We can only do this if we have been provided your shipment tracking numbers. Please also inform us if you are not shipping materials at the email above. 

STAC is not responsible for missing materials.


Hand-Carrying Materials

Sponsors may also hand-carry materials to the venue.

If you plan to bring materials with you, please notify the STAC team in advance so we can help coordinate with the venue if needed.

 



Exhibit Setup

Each sponsor table will include:

  • 1 table (standard 6ft. banquet table)

  • 2 chairs

  • Power supply in floor boxes to be shared. Bring your own extension cords.

Table linens and additional furnishings may vary by venue. Table linens may be provided by the venue. You may bring your own branded tablecloth to replace or cover the one provided by the venue. It is important that you note the table size to ensure the proper fit and aesthetics. Power must be purchased separately.

Exhibitors may:

  • Use pull up banners around the provided table
  • Use a backdrop behind their table as long as it fits behind their table or within +/- 2 inches of the end of the tables and within the space allotted for each vendor. If the backdrop requires power, you must make the necessary arrangements. 
  • Request that the venue provide no table, no chairs, or both to accommodate more space for their own display, product stands, media stands, etc. The maximum space for self-supplied displays: 2 m × 1.5 m x 2m height
  • Place media stands in front of the table
  • Display hardware equipment within the limits of the table provided (e.g., weight, size)
  • Run AV displays or demos at the booth. If you needs AV displays, you must make the necessary arrangements.
  • Allow a partner vendor or reseller, who is a STAC member, to participate at the booth.
  • Provide printed media, tchotchkes, and giveaway raffles at their booth providing vendor is responsible for all logistics, commercials, taxes (if appropriate), and is within the guidelines below.

Guidelines to the above:

  • All booth components must be able to be assembled and disassembled within the allotted setup and tear down times.
  • All components of your booth must fit within 2 feet (24 inches/60 cm) of the front of the table line.
  • All booth components and participants must not infringe on the space, participation, or branding of another exhibitor - size, visual, lighting, sound, branding, congestion, staff tactics, or unauthorized data capture.

If any exhibitor complains, or if STAC deems that your setup does not comply with the guidelines (or within the spirit of the guidelines), STAC will require you to modify the setup.


Technical Services

  • Power will be available for all tables in floor boxes to be shared. Bring your own extension cords.

  • Wi-Fi will be available at the venue

  • The venue does not provide individual AV equipment for sponsor tables

  • Dedicated or private Wi-Fi networks are not available.

  • If you would like AV equipment or monitors at your table, please arrange this directly with your preferred AV provider.
    We have received a recommendation for a local firm that can provide monitors/TVs, but we have not worked with them directly.

Return Shipping

Sponsors are responsible for arranging return shipments for their materials.

Please bring prepaid return shipping labels if you plan to ship items back after the event.

You may need to refresh the floorplan after opening it to see the most up-to-date version, especially if you’ve viewed it before.

Sponsors will receive instructions for selecting their table location.
